Your Role at Expanish
As part of the Operations team, you will play a key role in creating memorable experiences for our students from their first day to their last. This role blends student services, administrative coordination, and social and engagement program management.
We’re looking for a highly organized, customer-focused individual with strong interpersonal skills, a proactive mindset, and a knack for problem-solving. You’ll be the first point of contact for many students, ensuring a welcoming environment, smooth administration, and a vibrant social and cultural program. Key Responsibilities
Student Services & Front Desk
- Oversee the arrival and orientation of new students, ensuring a smooth and friendly first experience.
- Cover the school reception during operating hours: answer inquiries in person, by phone, WhatsApp, and email, and assist potential new visitors.
- Manage student communication channels (school email, WhatsApp groups) to provide timely responses and updates.
- Assist the Office Manager with merchandise and consumable sales (drinks, snacks), while maintaining accurate stock control.
- Support students with general requests, including local information and emergencies.
- Assist students with housing and health & safety matters.
- Be the main person responsible for managing the well-being of the students and ensuring incident reports are kept up to date.
- Serve as the 24-hour emergency contact on a rotational basis with the team.
Administration & Office Management
- Process new student enrollments and withdrawals, ensuring the student database is kept up to date and all records are accurately maintained.
- Keep the Student Portal current by uploading schedules, announcements, resources, and other relevant program information to ensure students have timely and easy access to essential updates.
- Monitor tuition and program fee payments, follow up with students regarding outstanding balances, and keep accurate paymeKOInt tracking records.
- Maintain an adequate stock of office supplies, faculty materials, and coffee area items, placing orders as needed to ensure smooth daily operations.
- Coordinate classroom bookings for faculty office hours, ensuring proper scheduling and avoiding conflicts.
- Manage printing, photocopying, and the purchase of teaching materials according to faculty needs.
- Act as a liaison between faculty, staff, and external suppliers to support day-to-day campus operations.
Activities, Trips & Cultural Engagement
- Design, promote, and deliver the activities agenda aligned with student interests, incorporating both free and paid options.
- Organize cultural workshops, social events, and weekend trips in partnership with trusted providers, ensuring high quality and clear communication of costs, meeting points, and schedules.
- Maintain annual event and trip calendars, taking into account seasonality and maximizing student participation.
- Oversee student satisfaction with providers, ensuring an average rating of 90% or higher.
- Prepare and distribute promotional materials for activities and trips, including bulletin boards, mailing lists, and in-class announcements.
- Maintain a database of student feedback on social programming to improve offerings.
- Orchestrate the marketing material and photo archive.
- Coordinate and accompany on-site activities and day trips, occasionally during weekends, ensuring smooth logistics and a positive student experience.
Feedback & Quality Assurance
- Distribute and collect student feedback forms.
- Log, follow up, and resolve complaints within established timelines.
- Communicate relevant feedback to department heads and management, ensuring quick resolution and continuous improvement.
Additional Duties
- Support the on-site coordination of student check-ins and check-outs at their accommodations, ensuring a smooth arrival and departure process.
- Assist with the coordination of the internship program kick-off, facilitating connections between students and host companies.
- Support and assist other departments when necessary and provide assistance when other employees are on leave (academics, internships, housing, activities, etc.)
- Be the main backup of the Student Services and Office Manager of the Language School Program.
