Position Title: Student Services Coordinator & Office Manager
Location: Barcelona, Spain
Hours: Full time; Monday from 07:45 to 16:45 and Tuesday–Friday from 09:00 to 17:30
Contract Type: Indefinite
Availability: Immediate
POSITION OVERVIEW
As a key member of the Operations team in Barcelona, you will play a central role in ensuring our students have an exceptional experience from the moment they arrive. We are seeking a highly organized, service-oriented professional with strong interpersonal skills, a proactive attitude, and the ability to support student needs with empathy and efficiency.
You will serve as a primary point of contact for students and be responsible for both front-desk services and essential administrative tasks. This position is ideal for someone who enjoys working in a multicultural environment, thrives in a fast-paced setting, and takes pride in delivering excellent service.
KEY RESPONSIBILITIES
Student Services & Front Desk
Oversee the Monday arrival and registration process for new students, in coordination with the Academic Coordination team, ensuring a smooth and welcoming first day.
Manage the school reception Monday to Friday (09:00–17:30): assist with student inquiries, handle phone calls, greet prospective students, and process sales of books, drinks, and snacks.
Manage the student WhatsApp group and the school email inbox to provide timely updates and assistance.
Maintain and update the Student App.
Administration and Accounting
Perform administrative tasks including new enrollments, course extensions, database updates, inventory control, and invoice processing.
Support the manager with expense tracking and data entry.
Assist with payment reconciliation (cash and card transactions).
Office Management
Oversee campus opening and ensure smooth daily operation from Monday to Friday.
Ensure the campus remains organized, clean, and in optimal condition (classrooms, common areas, screens, small repairs).
Manage inventory (books, snacks, cleaning supplies, etc.) and place orders when needed.
Coordinate external service providers (internet, printers, cleaning, pest control, plant maintenance, repairs, etc.).
Additional Duties
Participate in the rotating emergency phone schedule and respond to incidents as necessary.
Collaborate with other departments (academic coordination, housing, activities, etc.) to support overall school operations.

Required Qualifications
University degree and a minimum of 3 years of experience in a similar role.
High energy, a positive attitude, and a genuinely people-oriented approach.
Strong problem-solving skills, patience, and resilience.
Excellent administrative skills; highly organized and detail-focused.
Ability to multitask and manage simultaneous responsibilities effectively.
Strong written and verbal communication skills.
Languages: Professional-level Spanish and English; Catalan and additional languages are an advantage.
Valid Spanish work permit.
